SynergERP enhances project delivery and visibility with PPO implementation

SynergERP, a Sage Platinum Reseller and business solutions provider, has taken a strategic step to improve its project execution by standardising its project management approach and adopting Project Portfolio Office’s (PPO) software as its project portfolio management tool.

Founded in 1993, SynergERP focuses on delivering ERP solutions, particularly Sage X3 and Sage Intacct, across sectors like manufacturing, distribution, financial services, and professional services. Known for its long-term client relationships and digital transformation expertise, the company identified the need to strengthen project management as its operations scaled.

“As we grew, the limitations of our informal project management approach became clear,” says Wessel Coetzee, Joint Managing Director at SynergERP. “Each project manager had their own method, and we lacked a central dashboard or consistent reporting structure. It became evident that we needed to professionalise our project delivery to support future growth.”

In 2024, amid broader organisational changes, SynergERP brought in a project management consultant to establish formal processes. Though initially focused on methodology rather than tools, it soon became clear that a dedicated platform would be essential. PPO was selected for its alignment with the company’s needs and its readiness for implementation.

“Initially, we considered building our own solution, but PPO was already purpose-built and aligned with our goals,” Coetzee explains. “It wasn’t just about deploying a tool – it was about supporting the rollout of our PMO and methodology.”

The company’s key objectives with PPO included transparency, centralisation, and ease of use. “At a management level, we needed a single source of truth to track progress and generate consistent reports. For our project managers, the focus was on usability – PPO supports governance without adding unnecessary complexity.”

Since the implementation, SynergERP has seen tangible improvements in visibility, consistency, and efficiency. “We now have a standard methodology embedded into the platform, which makes it easier to manage and report on projects,” Coetzee notes.

Early benefits also include improved resource tracking and forecasting. “Many of our projects run for months. PPO helps us monitor budgeted vs. actual hours and better predict remaining effort,” he adds.

A key success factor has been strong user adoption. Project managers have embraced the tool, particularly appreciating PPO’s regular webinars that showcase new features and best practices.

“The shift in mindset has been notable,” says Coetzee. “Our team feels empowered, and even our own Sage Intacct implementations have benefited from some of the structured practices we've adopted via PPO. The support from the PPO team has been exceptional – always responsive and clear.”

Looking ahead, SynergERP plans to further evolve its use of PPO. “This isn’t just a software rollout,” concludes Coetzee. “It’s part of a broader transformation in how we deliver and serve our clients. And there’s still more to come.”
